Overview
Every Adminest user gets a unique, secure email address. Forward bills, policies, receipts, and letters to this address and Adminest will automatically extract the attachments, analyse them with AI, and create tasks from any deadlines found.
How It Works
Find Your Document Email
Your unique address (e.g.
9a3227@documents.adminest.com) is shown on the Dashboard under Your Secure Document Email. Click Copy to copy it.Forward an Email
Forward any email with PDF attachments to your document email address. You can also set up an auto-forward rule in your email client.
Automatic Processing
Within about 30 seconds, Adminest will:
- Extract text from PDF attachments using AI
- Identify the document type (bill, insurance, contract, etc.)
- Extract key details (dates, amounts, policy numbers)
- Generate a summary
- Create tasks for any deadlines
What Gets Processed

Maximum file size: 10MB per attachment. Emails with multiple attachments are supported — each is processed as a separate document.

Use PDF Attachments
PDFs give the best extraction results. Forward emails that have PDF attachments.
One Subject Per Email
For best categorisation, forward emails about one topic at a time.

Check the AI-suggested tasks after processing — approve the ones you want tracked.
Viewing Processed Emails
Forwarded documents appear in your Documents list with the source shown as “Email”.
Privacy & Security
- Your document email address is unique and private
- Emails are processed securely and encrypted in transit
- Only PDF and image attachments are processed — email body text is used for context only
- You can regenerate your document email address at any time from Settings
Troubleshooting

- Processing takes up to 60 seconds. Wait and refresh the Documents page
- Check the email had a PDF or image attachment
- Verify you forwarded to the correct address (check for typos)
- Very large PDFs (over 10MB) will be skipped
AI analysis seems incorrect
AI analysis seems incorrect
- Scanned PDFs with poor image quality may produce inaccurate results
- Password-protected PDFs cannot be processed
- Try uploading the document directly for a fresh analysis
Not receiving the email confirmation
Not receiving the email confirmation
- The forwarded email is processed automatically — there’s no confirmation email sent back
- Check the Documents page or Notifications panel for processing results
